POLICY ON PROCESSING AND PROTECTION OF PERSONAL DATA
This policy is intended to help ensure and document that Contrast Company protects all personal data in accordance with the provisions of the General Data Protection Regulation. This policy also provides information about the processing and use of the registered personal data.

This data is required in order for Contrast Company to enter into employment, customer and supplier contrasts.
Purpose and lawfulness of the processing
The personal data will be processed and archived in connection with:

  • Master data regarding suppliers, requisitions and purchases
We only use the personal data for the above purposes and we only collect the data necessary for fulfilling these purposes.
Storage and erasure
  • Contrast Company has introduced the following overall guidelines for storage and erasure of personal data:
  • Personal data must be stored in physical folders
  • Personal data must be stored in IT systems and on server drives
  • Personal data must only be stored for as long as it is necessary to meet the purpose of the processing
  • Personal data of employees must be erased five years after termination of employment (in special cases, we keep the data longer, for example in case of work-related injuries)
  • For the purpose of recruitment, we will keep your personal data until the specific position is filled. If you do not get the position, we will keep your personal data for up to 6 months after the recruitment process has ended, after which we erase it
Data security
  • Contrast Company has taken the following security measures to protect personal data:
  • Only employees who have a work-related need to access the registered personal data will have access to it either physically or through IT systems with rights management
  • All computers must be password protected and employees are not allowed to give their passwords to others
  • Computers must have a firewall and antivirus programme that is updated on a regular basis
  • Personal data must be erased in a secure manner when IT equipment is phased out or repaired
  • USB sticks, external hard drives, etc. containing personal data must be stored in a locked drawer or cabinet
  • Physical folders must be placed in a locked office or in locked cabinets
  • Personal data in physical folders must be erased by shredding
  • Disclosure
  • Personal data about employees may be disclosed to public authorities such as the Danish Tax Authority and pension companies.
Data processors
Contrast Company only uses data processors who can guarantee that they will take appropriate technical and organisational security measures in accordance with the requirements of privacy legislation.

Rights
Contrast Company safeguards the rights of the data subject, including the right to access, withdrawal of consent, rectification and erasure, and will inform data subjects about the company’s processing of personal data. Data subjects have the right to file a complaint with the Danish Data Protection Agency.

Personal data breach
In the event of personal data breach, Contrast Company will notify the Danish Data Protection Agency as soon as possible and within 72 hours of the breach. The CFO of the company is responsible for ensuring that this happens. The notification must describe the breach, the groups of people affected and the consequences the breach may have on those persons as well as how Contrast Company has remedied or intends to remedy the breach. In the event that the breach involves a high risk for those persons about whom Contrast Company processes personal data, they will be notified by us. Contrast Company documents all personal data breaches.
